Rush Print Checklist: What I Check Before Promising a Deadline on Mimaki Printers

A production manager's field-tested checklist for rush orders on UV flatbeds, large-format printers, and DTF systems. Covers deadlines, substrate profiles, Mimaki inks suppliers, color tolerance, finishing time, and Plan B.

I run production for a small industrial print company. For the past decade, I've been the person who gets the call at 4:45 pm on a Thursday and hears some version of: We need 30 panels for tomorrow night. Can you print them?

After 200-plus rush orders, one expensive vendor failure, and more than one same-day freight invoice, I've come to believe that a rush job isn't won on the printer. It's won before you accept it.

This checklist is for print production managers and owners who run UV flatbeds, wide-format roll printers, DTF machines, or similar commercial equipment. Use it before you quote a deadline, not after.

The fundamentals haven't changed: artwork, proofing, substrate, ink, and finishing. But the execution has transformed. What worked in 2020 may not be enough in 2025, because shops today switch between more materials and more ink workflows than ever. A five-day job can hide a weak process. A rush job exposes it immediately.

1. Identify the true deadline

Ask a simple question: what happens if it arrives at 4:00 pm instead of 2:00 pm? Is setup at 6:00 pm, or is a freight truck leaving at noon?

One client once told me Friday and meant before close of business. Another meant 9:00 am because the truck left at 10:00. Those are two different production problems. Write the real delivery time on the job ticket. If you don't, someone on the floor may work until 6:00 pm to hit Friday, then find out the customer needed it by 10:00 am.

2. Confirm the actual deliverable

Don't accept a job based only on the phrase UV print. A UV flatbed sign, a DTF garment transfer, and a UV-cured 3D part are completely different production paths.

For example, an Asiga MAX UV 3D printer cures photopolymer resin layer by layer. It's not a substitute for a UV inkjet, and a UV inkjet can't make resin parts. If your shop only has Mimaki printers, don't accept a 3D print request just because both processes use UV light. Say what you can do, then hand off the rest.

This sounds basic, but rush pressure makes people sloppy. I skipped this step once and paid for it with an unusable prototype and an unhappy customer.

3. List every substrate before you talk about speed

UV inks behave differently on acrylic, aluminum composite, polycarbonate, and coated paper. If you've never printed a specific material on your machine, you don't know the profile, pass count, or cure settings. The cost of testing belongs in the rush quote.

If the job involves a 4060 UV printer, the common 400 x 600 mm flatbed format, check material thickness and stability first. Many 40 x 60 cm machines print rigid panels, but they aren't all built for long unattended queues. Know what your machine can handle before you say yes.

4. Check ink stock before you estimate coverage

I learned this the hard way. Ink is the bottleneck in almost every rush order.

Calculate square footage and coverage, then compare that to current ink levels. If a Mimaki printer is near the end of a bulk ink tank, plan a tank change into the timeline. If you're using cartridges, look at the physical inventory, not what you remember.

When you don't have enough ink, call authorized Mimaki inks suppliers. Ask if they carry the exact color code in stock and whether they can dispatch same day. I work with three suppliers because no single one carries every color. In February 2024, I paid $140 in freight for one liter of white ink because my usual supplier only had CMYK. It was painful, but cheaper than missing a $13,000 job.

5. Run a test print under production settings

Don't start a rush job without a test print if the file, substrate, ink, or machine state changed. Print a strip that includes thin text, a solid area, and your largest coverage. Don't test with a tiny logo. A two-centimeter color block won't show a weak nozzle or an uneven white pass.

I know a shop that skipped this step because they had used the same file a week earlier. The file was the same, but the machine had sat idle for three days. When they started the job, one cyan nozzle was weak. By the time they caught it, they had printed twelve unusable panels. The reprint cost three hours. They made deadline, but only with overtime.

6. Lock the color target and proof the profile

Don't trust the monitor. Measure the print. Whether it runs on a Mimaki flatbed or a converted L805 UV printer, the profile controls the result more than the machine.

For brand colors, follow industry color tolerance. Delta E below 2 is normally acceptable. Delta E from 2 to 4 is noticeable to trained observers. Delta E above 4 is visible to most people. (Reference: Pantone Color Matching System guidelines, pantone.com.)

I keep seeing small-shop operators treat color proofing as extra. On a rush job, it's insurance. If there isn't time for a dry proof, lock the target before the job starts and don't let anyone adjust color mid-run.

7. Count finishing time, not just printing time

Printing is often the fastest part.

After a panel leaves the printer, plan for checking, cooling, laminating, cutting, mounting, packaging, and any other finishing steps. For DTF, the press cycle can add significant time. For large-format panels, mounting to a rigid backing can be slower than printing.

Check the file resolution too. Standard commercial print is 300 DPI at final size; large format viewed from a distance may be acceptable at 150 DPI. If the high-resolution file doesn't exist, file preparation has to go into the timeline.

8. Plan the delivery before you plan the print

A print that finishes at 5:00 pm doesn't help if the last courier leaves at 4:30 pm.

Ask who picks it up and which delivery options are available. If you need same-day courier service, find out the cost and the cutoff time. In February 2024, I paid an $800 emergency courier fee to save a $12,000 project. The courier made it because we built that handoff into the quote. It wasn't a surprise.

9. Add buffer and charge for urgency

I don't promise five days of work in two days unless a backup machine, a backup operator, or a second shift is available. I add about 20 percent buffer time on top of the production estimate.

Rush work costs more because it interrupts planned jobs, reduces testing time, and increases machine risk. That's a real cost, not a surcharge. In 2023, I lost a $17,000 contract because I accepted a rush order without extra capacity. We delivered late, and the client moved on. The lesson stuck.

10. Write your plan B before pressing start

What happens if the printer fails at hour 30? If the ink tank runs dry at 10:00 pm? If the file is corrupted?

Name the backup before starting. It might be a second production center, another print shop across town, a spare ink set from a supplier, or a slower but reliable older machine in the back. If your backup requires calling an unknown Mimaki inks suppliers at midnight, you don't have a backup.

I once saved a 48-hour project by moving it to a backup shop I had vetted weeks earlier. It was unglamorous. That's exactly the point.

Common mistakes I see on rushed orders

  • Skipping the test print because the same file ran last week. The file may be the same. The machine condition is not.
  • Assuming the profile will behave the same on a new batch of substrate. Board suppliers change coatings without telling you.
  • Confusing a converted small-format machine with an industrial production line. An L805 UV printer is a useful sample and backup machine, but it has a different duty cycle than a large-format production system.
  • Trying to solve a 3D resin request with an inkjet. An Asiga MAX UV 3D printer and a UV flatbed do different jobs.
  • Skipping color measurement because time is short. The time to skip color measurement doesn't exist.

Every rush order is an exercise in honest capacity. The more you know about substrate, ink inventory, machine state, color profile, and finishing time, the safer your promise. If you need twenty minutes to check before you say yes, take those twenty minutes. It beats a weekend of firefighting.
