Who This Checklist Is For
If you are comparing a Mimaki sticker printer, a production flatbed like the Mimaki JFX200-2513, an Xtools DTF printer, or even a Brother MFC-J1010DW wireless color inkjet printer for a small workspace, this checklist is for you. I'm a procurement manager at a 140-person apparel decorating company. I've managed print-related budgets of roughly $320,000 a year for 6 years, negotiated with 15+ vendors, and tracked every order in our cost system.
The goal is simple: know what you're actually paying before you sign. This is the checklist I use every time. There are 7 steps. Budget 20 minutes.
1. Define the output before the machine name
"Sticker printer" is not a product category. Search for "Mimaki sticker printer" and you'll get roll-to-roll printers, printer/cutters, and UV flatbeds. They all make stickers, but they do not all make sense for the same sticker order.
Ask this first: what substrate, what volume, what size, and is contour cutting required? If you need 2,000 die-cut stickers a month, a high-speed inkjet printer plus a separate cutter might be overkill. If you need 50,000 die-cut stickers a month, a small desktop printer won't survive the workload.
Stickers are not a machine category. Output is.
2. Build a total cost sheet before you look at the price
Here's the thing: the Mimaki JFX200-2513 price is the headline number, but it is not the buying number. The buying number is total cost of ownership.
Total cost of ownership = base price + installation + training + printheads + ink + maintenance + downtime + operator time + resale value.
I built a cost calculator after getting burned on hidden fees twice. In my first procurement role, I made the classic rookie error: comparing base machine prices only. Cost me about $4,300 in unplanned freight, software, and training costs. The lesson stuck.
One quote for a Mimaki JFX200-2513 I reviewed in 2024 had a base price near $187,000. The final approved capital cost, including installation, initial ink, training, and warranty extension, was over $208,000. I can't share the vendor because the quote is confidential. The point is the difference was 11% on top of the headline price. That's the part that kills budgets.
Trust me on this one: the inkjet printer carriage is also a cost line you need to ask about. The carriage is the moving assembly that carries the printheads. On a large-format machine, a carriage repair can be a four-figure invoice. If the reseller can't tell you how much a carriage service costs, keep asking.
3. Ask for line-item quotes, not one-line quotes
A one-line quote is a red flag. If a vendor sends a single number, they're not ready for a real conversation.
I use a list of line items:
- Base machine and configuration
- Shipping, rigging, and installation
- Training hours
- Initial ink and consumables
- Printhead and carriage warranty details
- Service response SLA and spare parts availability
That list isn't exhaustive. It's the minimum. If a vendor hesitates on any line, that's useful information.
Mimaki doesn't publish a standard list price for the JFX200-2513. Regional dealers quote differently. The public range I've seen from vendor proposals and bid documents in late 2024 and early 2025 is roughly $160,000 to $220,000 before freight and install. That's not a price promise; it's a budgeting sanity check. Verify current pricing with at least three dealers.
4. Price the consumables before the hardware
An Xtools DTF printer might have a lower base price than a Mimaki DTF line. Don't let that number make the decision for you. DTF printing has a different consumable stack: film, adhesive powder, white ink, cleaning fluid, and printhead wear. Compare those costs per meter before you compare machine prices.
White ink is the budget killer in DTF. It settles, it needs circulation, and it needs periodic purging. Ask for the estimated ink consumption per square meter, not just the bottle price.
For sticker and label work, the same logic applies. A printer might be "cheap" to buy and expensive to run. On desktop machines, the math is just as real. A Brother MFC-J1010DW wireless color inkjet printer is not in the same category as a Mimaki, but the cost principle is identical: the ink is the business, not the box.
I'll say it plainly: the lowest quote on hardware is often the most expensive purchase in the room.
5. Verify service reality, not brochure SLAs
Service response time matters more than almost any spec. A machine that is down for three days costs more than the $10,000 difference between two good quotes.
Ask: who services this in your region? Are spare parts stocked locally or shipped from another continent? Is the technician a direct employee of the reseller or a subcontracted third party? What happens if the inkjet printer carriage is damaged during a routine cleaning?
I assumed a carriage on a wide-format printer was covered under the standard warranty. It wasn't. The warranty covered part defects, not an operator-error misalignment. That service call turned a small mistake into a lesson I still put in every budget review.
Real talk: I'd pick a slower machine with a local tech over a faster machine with a phone-only helpdesk.
6. Benchmark against outsourced printing
Buying production equipment only makes sense when it beats your next best option. For short-run materials, that option is often an online print shop.
Here's a public benchmark based on publicly listed online printer prices from January 2025: 500 business cards on 14pt cardstock, double-sided, standard turnaround, runs about $20 to $35 at online printers. 1,000 flyers, 8.5x11, single-sided, runs about $80 to $150. Those are not premium prices. They include setup, and standard shipping is extra.
If you're buying a machine to replace $200 a month in outside printing, the machine will never pay for itself. But if you're already spending $8,000 a month in outsourced sticker, transfer, and signage printing, in-house production can change your numbers. The benchmark prevents you from overspending on a machine for a problem you don't have.
7. Make the call, document why
After comparing 8 vendors over 3 months, the highest-value option can still be the one with a higher sticker price. My procurement policy now requires a written total cost comparison before any equipment purchase over $10,000. That policy exists because I approved a purchase once without one. It didn't end badly, but it was luck, not process.
The final decision should be defensible with numbers: output volume, consumable cost, expected downtime, resale value, and the cost of doing nothing. If a purchase only makes sense under impossible assumptions, it doesn't make sense.
That "cheap" option with 60 jobs a day expected? If it actually averages 35 jobs a day, your labor cost per job just went up. The "expensive" option isn't expensive if it finishes before your deadline. Capex is not the real price. Throughput is.
What I Still Get Wrong
My experience is based on about 40 equipment purchases, mostly mid-size US production shops, across 6 years. If you're running a large fleet or operating outside North America, your experience may differ.
This pricing was accurate as of Q1 2025. The market changes fast, so verify current Mimaki JFX200-2513 price quotes, DTF consumable costs, and service contract terms before you budget.
The surprise wasn't a low quote. It was how many costs appear after the quote. The ones I didn't plan for were: installation extras, printhead cleaning supplies, carriage service, and operator training. None of them are hidden if you ask the right questions.
Start with the output, build the total cost sheet, and compare that number against the best outside option. That's the whole job. The rest is discipline.
